Patient Care Coordinator
Responsible for daily function of front desk operations. Acts as a brand ambassador to new and existing patients; delivering personalized customer service to each patient. Drives oral surgery treatment sales by demonstrating a thorough understanding of practice offerings, and displays a curiosity about patient circumstances and their desired outcomes. Consistently demonstrates a positive attitude and works as a team player.
RESPONSIBILITIES INCLUDE:
Practice Operations
- Prepares and maintains patient charts, ensuring appropriate documentation
- Files patient reports, miscellaneous documents, and radiographs into patient charts and files
- Escorts patients to consultation rooms, ensuring they are comfortable
- Effectively manage surgeon’s schedule
Administrative Front Desk Operations
- Responsible for opening and closing office
- Fields, directs and/or manages incoming calls and patient questions
- Greets all patients
- Takes accurate messages and disseminates in a timely manner
- Schedules and confirms patient appointments
- Obtains/verifies demographic information and enters into various system databases/charts
- Checks-in patients, obtains copy of insurance cards, collects co-pays and fees
- Ensures proper documentation for payments collected
- Input treatment plans into practice management system and be able to discuss treatment plans/finances with patients
- Verify patient’s insurance benefits with insurance companies
- Review pre-operative and post-operative instructions with patients
- Answer patient questions
- Sends follow-up correspondence to patients and referral sources as required
- Directs outgoing/incoming faxes and distributes accordingly
- Maintains the integrity of the data entered into various office databases
- Manages inventory of all forms, brochures and educational materials; replenishes and stocks as needed
- Replenishes supply of product inventory as needed
Consultative/Sales
- Provides prospective patients with accurate and timely information about the surgeon and practice, as well as surgical procedures and what to expect for the consultation appointment
- Engages patients in discussions on tooth removal and subsequent replacement and makes recommendations accordingly
- Other duties as assigned

QUALIFICATIONS: Experience in healthcare or a service-oriented business required. Preference will be given to applicants with a background in dental front office positions. Strong interpersonal and communications skills required.
Position hours are 8 AM–5 PM. 5 days/week.
Must be able to work at both Sonoma and Napa locations.

Oral Surgery Assistant
A well-established, busy specialty office is looking for a highly motivated RDA to join or team. You must be a team-player who is looking for a great opportunity and long-term employment. We are looking for a professional person who is able to multi-task, use time efficiently, and always be one step ahead by anticipating the doctor’s needs. Our practice is committed to providing excellent patient care and is looking for someone who shares this same objective. We are willing to train the right candidate.
We are seeking candidates with the following qualifications:
- Current RDA license
- Valid California X-ray license
- Current CPR certification
- Takes pride in attention to detail
- Punctual and reliable on a daily basis
- Friendly and outgoing personality, with both patients and fellow staff
Qualifications not necessary but a plus:
- Previous oral surgery experience
- OMSA certificate
- Dental Anesthesia Assistant Permit (through Dental Board of CA)
- Emergency procedures - identification and treatment
- Familiar with dental/oral surgery software - DSN preferred
- Computer savvy, able to type 35 wpm
- Ability to read, speak, and write Spanish fluently and clearly
Responsibilities include, but not limited to:
- Assisting in surgical procedures, both local and IV sedation
- Sterilization
- Tray set-ups
- Assisting in consultations and post-ops
- Taking vital signs
- Recovery
- Lab/model work
- Organizing and restocking supplies and rooms as needed
- Other duties as needed shared amongst the assistants
We are looking for someone who can work 40 hours per week, but may need to work overtime occasionally due to the nature of our business. This could be a great opportunity for a dedicated, motivated and ambitious individual who is eager to learn and is a self-starter.
